The 5-Step Audio Spec Check That Saved Our Project (and Why You Should Copy It)

If you're specifying audio for a commercial space—a conference room, a retail floor, or a large venue—you've probably seen the specs sheet and thought: looks good enough.

I thought the same. Then I rejected our first batch of speakers because they were a full 3dB off at the listening position. That mistake cost us a $22,000 redo and delayed our hotel lobby launch by three weeks.

Here's the checklist I now use for every audio vendor evaluation. It's five steps. Follow it, and you'll catch the issues that spec sheets don't tell you about.

Step 1: Diagnose the Space Before You Read a Single Spec

Most people start with the speaker. They look at wattage, frequency response, and impedance. Wrong place to start.

Start with the room. I don't mean a full acoustic treatment plan (seriously, I'm not an acoustician). What I mean is: know your room dimensions, ceiling height, surface materials, and ambient noise floor. Concrete and glass reflect sound differently than carpet and drywall. A room with a 60dB ambient noise floor needs a very different system than a quiet executive office.

I learned this the hard way when I assumed 'same specifications' meant identical results across vendors. Turned out one vendor's 100W speaker was designed for a treated room, and the other's was for a reflective space. The difference was way bigger than I expected.

I once had a vendor claim their speaker was 'ultra-low distortion' but couldn't provide a THD (total harmonic distortion) figure at a standard operating level. We rejected their sample. Now every contract includes a THD requirement at 85dB SPL.

Step 3: Don't Trust the Spec Sheet—Test the Variables

Spec sheets are measured in ideal lab conditions. Your space isn't ideal.

Here's what I verify before accepting a delivery:

  • On-axis vs off-axis response: A speaker might measure perfectly at 0 degrees (directly in front) but drop sharply at 30 degrees. In a reception area or retail floor, people aren't sitting directly in front of the speaker.
  • Real-world SPL at listening position: The spec sheet says 120dB maximum. But what does the system deliver at 10, 20, or 30 feet? Distance and room acoustics reduce effective SPL.
  • Consistency across a batch: We received 50 identical ceiling speakers. I measured five randomly. Three were within ±1dB of spec. One was +3dB. One was -4dB. That's a 7dB spread—completely unacceptable for a multi-zone installation. We rejected the batch.
  • The surprise wasn't the price difference. It was how much hidden value came with the 'expensive' option—support, revisions, quality guarantees.

    Checkpoint: Ask your vendor for batch-level consistency data. If they can't provide it, request a pre-shipment sample of 3-5 units for your own measurement. (Note to self: always build this into the contract timeline.)

    Step 4: Calculate Total Cost (It's Not Just the Speaker Price)

    I've seen budget quotes that look amazing—until you add in everything else. Here's what I include in my total cost calculation:

    • Amplification and DSP: Some speakers require specific amplification profiles. If the vendor recommends a proprietary amplifier, that's an additional cost.
    • Mounting and installation: Does the speaker come with brackets? Are they rated for ceiling or wall mount? What about seismic safety (code requirement in some regions)?
    • Commissioning: Who tunes the system? Many commercial speakers require DSP calibration for the space. If the vendor doesn't include this, budget for a third-party integrator.
    • Rush fees and shipping: Need it in two weeks instead of four? That's a 20-30% markup, sometimes more.

    The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end. I've learned to ask 'what's NOT included' before 'what's the price.'

    Step 5: Build a Contract That Protects You (and Your Budget)

    Based on my experience—maybe 200 commercial audio orders, give or take—you need these three clauses in every contract:

    • Specification verification right: You have the right to test a random sample (e.g., 5% of units, minimum 3) before accepting delivery. If any unit falls outside the agreed tolerance (e.g., ±2dB frequency response), you can reject the batch at the vendor's cost.
    • Performance guarantee: The system must meet a minimum SPL (e.g., 85dB) at the furthest listening position. If it doesn't, the vendor must provide on-site calibration or replace the system.
    • Transparent pricing schedule: All fees—base price, shipping, rush fees, any additional services—must be listed in the contract. No hidden costs.

    I rejected a batch of 200 units last year because the THD was at 5% against our 2% spec. The vendor claimed it was 'within industry standard.' We held our ground. They redid the batch at their cost. Now every contract includes our THD requirement.

    Common Mistakes I Still See (and Try to Avoid)

    • Assuming brand guarantees quality. A premium brand can still have a bad batch. Always verify. I've seen Harman Kardon and JBL units (both solid brands) that didn't meet their own spec sheets for a specific production run. It happens.
    • Focusing on wattage instead of sensitivity. 500W into an inefficient speaker is quieter than 200W into an efficient one. Sensitivity is the real number you need.
    • Not budgeting for commissioning. An uncalibrated system in a reflective room sounds muddy and muffled. You'll blame the speakers when the problem is the setup. (This gets into DSP tuning territory, which isn't my expertise. I'd recommend consulting an audio integrator for this step.)

    Bottom line: specifying audio for commercial use isn't about finding the cheapest unit. It's about finding a vendor who will tell you what's not on the spec sheet—the tolerances, the drop-offs, and the hidden costs. Take it from someone who rejected a $22,000 batch: those questions pay for themselves.
